Automatically Collected Information

When you view pages on CoSW’s websites along with other UK websites, some specific technical information about your visit is automatically collected. This information includes:

  • The date and time of the website visit
  • The duration of the website visit

All information is anonymized and pooled together to analyze user trends rather than pinpoint specific users.

Manually Collected Information

You may be asked to manually provide information so that CoSW can best assist you with questions, comments, applications, or for future communications. You do not have to submit this information, though not doing say may result in lowering our ability to best serve you. By providing this information, you consent to the collection, use, and disclosure of said information by CoSW.

Cookies

A cookie is a file that is written to your computer containing information about your visit, but does not contain personal data. These are for your convenience so that you do not have to fill in your details again during future visits to CoSW’s website. Third Party Services

What we use your data for

CoSW uses automatic information gathered to improve our services and to improve our ability to market those services to additional people. Information such as how many users utilize our mobile website versus desktops better informs CoSW the changes that should be made to our website to service users needs. Manual information provided is used for specific purposes related to the section of the website the form on. Examples include, but are not limited to:

  • Alumni Contact information for future correspondence of events
  • Application for program involvement
  • Requests for information to help assist answer questions
  • User submitted photos of events for publication
  • Job postings with employer contact information

Retention

For users that register on our website, we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

Any information obtained may be retained for as long as CoSW and UK have use of the information or in accordance with applicable federal, state, and local laws and regulations. This can be for record keeping purposes, diagnostic, or analytics for improving services.

What rights you have over your data

If you have an account on this site or submitted manual information, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes. You can also opt-out whenever you fill out a form on our website when the information on that form is planned to be used for marketing purposes. Look for the box that asks to not use your information for marketing purposes and click it to confirm.

Security

CoSW is committed to ensuring that your information is secure. To do so, we have hardware, software, and managerial safeguards in place to protect the data we collect from you online.

Due to the ever-evolving nature of information technology, no transmission of data over the Internet can be guaranteed to be completely secure. While UK and CoSW are committed to protecting your privacy, we cannot guarantee the security of the information transmitted, and you provide this information at your own risk. However, once we receive your information, we will use reasonable safeguards consistent with prevailing industry standards and commensurate with the sensitivity of the data being stored to maintain the security of that information on our systems.

In addition, we will comply with all applicable federal, state, and local laws regarding the privacy and security of visitor information.

Additional Policies

UK websites are not directed to children under 13 years of age, does not sell products or services intended for purchase by children, and does not knowingly collect or store any personal information, even in aggregate, about children under the age of 13. All minors should ask for their parent’s permission before sending any information about themselves to anyone over the internet, and we encourage parents to teach their children about safe internet use practices.

Right to be Forgotten

The General Data Protection Regulation (GDPR) is a privacy law that applies to the personal information collected in or from the European Union (EU), or that is related to goods or services offered in the EU, or that involves the monitoring of individuals in the EU. Article 17 of the GDPR gives individuals the ‘right to be forgotten’.

While the University of Kentucky is subject to United States federal and the Commonwealth of Kentucky state laws, the University of Kentucky strongly believes in the sanctity of privacy for all individuals, and as such attempts to honor the intent of Article 17 where it doesn’t conflict with applicable legal, regulatory and/or accreditation requirements.

All requests regarding Article 17 should be made using the University of Kentucky’s official request form.  If the University can comply with this request, we will do our best to respond within one month of the request.

The information you supply in this form will be used only for the purposes of identifying the personal data you are requesting that we erase and of responding to your request. You are not obligated to complete this form to make the request, but failure to do so will delay the process.
